II.  Registration/Administration

1.       Rosters -- Rosters will be emailed to you.  Note that any girls not registered or who does not have a birth certificate on file will not appear on your roster.  Also, if you did not contact the registrar with information regarding your assistant coach, his/her name will not appear.  Please check the roster carefully and e-mail any errors/corrections to the registrar, your age group coordinator and the travel chairs.  A revised roster will then be issued.  If a girl drops off your team, please notify your coordinator and the registrar so that the slot can be filled from the waiting list.  Remember, you must bring two copies of your roster to give to the referee at each game.

2.       Coach Passcards – All coaches must have a current “Member” passcard to participate in team activities and to be on the team bench area during games.  You must have a sticker for the current year on your passcard for it to be valid.  If you or your assistants do not have a current passcard or sticker, request materials from the registrar and they will be mailed directly to the coach or assistant coach.

3.       Player Passcards – Required only in the spring season for all Division 1 and 2 players at U12, U14 and U16, and all U18.  All passcards will be distributed by the registrar at, or prior to, the spring meeting   If you need additional passcards, contact the registrar.  Note that all passcards get returned to the registrar at the end of the spring season.

4.       Birth Certificates – The registrar must have a photocopy of a birth certificate or passport on file for every player.  You will be notified by the registrar of missing certificates for your players.  Please call any girls on your team and instruct them to mail a copy of their birth certificate or passport to:  NGS Birth Certificates, P.O. Box 610333, Newton, MA 02461.

5.       Player Evaluations – Player evaluations are due at the May of the Spring season.  In May, you will be emailed an evaluation form and you should complete one for each player on your team.  These evaluation submitted in the Spring are of critical importance in properly placing players for the following year.  A second evaluation may be submitted by your assistant coach (if he/she wants to do so) or can be done collaboratively.  Please take the time to do the evaluation properly and return it by the deadline.

6.       Player Registration - For the Fall season, registration is usually in mid-April, tryouts are in May and teams are selected by the end of June for the following Fall season.  For the Spring season, registration is in the beginning of December. Generally teams will remain the same from the Fall to the Spring season (for the whole school year).

III. Schedule/Administration

1.       Web Site – Current schedules are available at the BAYS website, www.bays.org and may continue to be updated until the season starts.  Newton field maps are at www.newtongirlssoccer.org.  Don’t wait – call your Week 1 opponent now!

2.       BAYS Books – There are no BAYS books anymore!  You can find your team schedule on the BAYS web site www.bays.org under “Scores & Standings”.

3.       Section Captain – You may be contacted by your division director about being a section captain.  Captains are responsible for collecting scores each week from all coaches in the section and reporting the scores to the BAYS web site. Scores and standings are available on line on the BAYS website.  The easiest way to collect scores is to have each coach in your section e-mail the scores to you.   In case of scheduling problems, mismatches or other issues with coaches, please refer them to the division director.  Section captains do not get involved in scheduling disputes or other matters other than reporting scores.

4.       Competitive Problems – Despite all good efforts, teams are sometimes misplaced, especially in the fall season when limited information is available.  If your team is winning or losing by large margins, please contact your grade coordinator or one of the travel chairs.  Usually it is best to wait until at least after the third game, but not later than that.  Occasionally, the BAYS division director can arrange a swap of misplaced teams, but this is not always possible.  You should not contact BAYS directly unless asked to do so by your age group coordinator or travel co-chair.

IV. Fields

1.       Rescheduling Procedure – Please see information distributed by the Fields Committee.

2.       Fields Schedule – In this envelope is field grid of NGS and NYS game times and locations.   This schedule should be in agreement with the BAYS website game field information. It it is not, please notify the travel chairs.

3.       Bad Weather/Field Closings – Check the NGS website or call the Fields Hotline at 617-928-6061 to learn of field closings and game cancellations.  You may also give this number to parents and opposing coaches.  Check the hotline before you schedule a practice.  See field information for more details.

4.       Field Conditions – If you have a problem with field conditions such as lining, holes, grass cutting, nets, goals, etc., please contact the Fields Committee or the Travel co-chairs (see above).

5.       Field Permit – Your field permit is enclosed.  Be sure to have it with you for all games and practices.  It is a good idea to keep it in your team bag.

V.  Tournament weekends & religious holidays

1.       Dates – Tournaments are usually held over Columbus Day (Fall) and Memorial Day (Spring).  There are also a number of tournaments on other weekends and over the summer (e.g. the Attleboro “Ice Kicker” in November, Grafton 3 v 3 in August).

2.       Tournaments – Consider taking your team to a tournament.  It’s great fun and a good experience for the girls.  Tournaments are available for all levels of play, so choose carefully.  A fairly complete listing of Massachusetts tournaments is available at the MYSA website http://www.mayouthsoccer.org/approvedtourneys.html  Call to get more information, and apply early so that you are not disappointed.  If you’re having a hard time choosing a tournament for your team, talk to other coaches, your grade coordinator, and the travel chairs for suggestionsNote – it is expected that more than  half of the NGS travel teams – including at least the top 3 teams in each age group will attend the Newton Columbus Day tournament each year

3.       BAYS games  -- You are scheduled to play a regular BAYS game on both Columbus/Memorial Day weekends, although many teams are involved in tournaments.  If you decide to play the scheduled BAYS game on the scheduled date, check early in the season with the opposing coach to see if the opposing team also wants to play.  If you do not intend to play the game on the scheduled date, you should reschedule the game to be played in advance of the assigned date.  In this case, follow the instructions in the fields memorandum and be sure to notify the referee assigner and fields scheduler.

4.       If you are going to an out of state tournament, you will need to obtain a  Permission to Travel form from MYSA.  This needs to be done at least three weeks in advance.  See the MYSA website for an on-line form: http://mayouthsoccer.org/etravelintro.html.  Note that U10 coaches will receive permission to travel only to “non-results oriented” out of state tournaments.

5.       Religious holidays. – On some years, the Fall Jewish Holidays fall on game days.  Typically, Newton teams cannot field teams during these holidays – particularly Yom Kippur.  These games should be rescheduled.  Note – BAYS  requires the opposing coaches to cooperate in rescheduling games for this reason (Rule 9 section 2a).

VI. Uniforms

1.       The official NGS uniform consists of a uniform shirt, solid black shorts and orange socks.  See the web site: http://www.newtongirlssoccer.org/equip for instructions about the procedures for obtaining uniforms.

VIII. Coaches Development/Clinics

1.       Clinics -- NGS will provide professional coaching opportunities to each age group.  The Player Deveopment Coordinator will provide details on the new curriculum for teams and the Director of Coaching.

2.       Coach Development – All coaches are encouraged to attend licensing courses and clinics.

IX.  Equipment

1.       New equipment bags are available at the beginning of the Fall season.  If you need anything else during the year, contact the equipment coordinator.

X.  Expenses

1.       Other than the registration fee and uniform cost (which are waived in the event of financial hardship), all other team fees are optional.  This includes fees for indoor practice space, tournaments, and other team expenses.  While many teams do collect funds for such events, only those who participate should be requested to pay.  NGS tries to keep the cost of soccer affordable and therefore asks coaches not to put undue pressure on families to pay extra fees and to keep the overall cost of team “extras” to a minimum.

2.       Many teams provide coaches with gifts at the end of the season.  NGS discourages this practice.  Instead, consider suggesting that your team make a donation to the NGS scholarship fund or to a charity such as New England SCORES -- http://www.newenglandscores.org/.

XI.  Questions, Problems, Issues, Complaints…

1.       Please try to use e-mail whenever possible.

2.       Please respond to all requests.  We have many head coaches, so it is time consuming to ask twice.

3.       Try to direct your question to the appropriate person.

4.       Read your materials before you ask.
